QuizMachine separates people who create and manage quizzes from respondents who only take them. This guide explains which role to choose and how to add each person safely.
Choose the right role
- Main administrator
- Owns the organization subscription, manages its members and seats, and has administrative access to organization content.
- Administrator
- Manages organization quizzes and users within the access granted by the main administrator.
- Trainer
- Creates and manages quizzes. Trainers do not receive organization-wide administrative controls.
- Respondent user
- Signs in to a respondent portal to take assigned quizzes and review permitted results, without authoring access.
Invite a trainer
- Sign in as the main administrator and open Admin.
- Open Subscriptions, choose your organization, and select Members.
- Under Invite Trainer, enter the person's email address and send the invitation.
- Ask the invited person to use the invitation email to join the organization.
Promote a member to administrator
- After the person has joined, open Admin and then Users.
- Find the member and change the role from Trainer to Admin.
- Save the change. The role uses an administrator seat immediately.
Add respondent users
Respondent users are not organization authors. Open Respondent users from the dashboard, then create an individual user or import a CSV file. Assign quizzes through the respondent portal workflow rather than adding these people as trainers.
Check seat limits.
Your plan controls the available administrator and trainer seats. Remove an unused member or upgrade before inviting or promoting someone when every seat is occupied.
Keep access tidy
- Give administrator access only to people who need organization-wide controls.
- Review the member list regularly and remove access when responsibilities change.
- Use respondent accounts for quiz takers so authoring and administrative permissions remain separate.
